One of my Little Caesars franchisees was struggling with entering her Daily Sales Summary on a memorized Sales Receipt. Our franchisees record their sales (Pizza, Breadsticks, Wings, etc) as well as the types of payments, pay outs, gift card sales and gift card reimbursements on a memorized Daily Sales Summary by location. This also accrues sales tax and reconciles to the daily deposits. The problem was that when she saved the Sales Receipt, it would delete the payment item values (MasterCard, Visa, Amex) When she opened up the recorded Sales Receipt and re-entered the payment items, it would hold the value. What a nightmare!

On the first attempt to fix it, my dedicated Little Caesars  consultant Mary re-created items, re-memorized  the Sales Receipt, but to no avail. We called Intuit Technical Support and, much to our surprise (and delight that we weren’t going out of our minds), the technician replicated the event and came up with the same result. We were just happy that we knew it was a glitch and no matter what we had tried, it would not have worked Unfortunately, the franchisee has moved to the new version and has to deal with the double entry in order to record her sales. The technician from Intuit said that he will add this to the next round of fixes. We, of course, hope that comes out asap.

So, as I was getting ready to write this, I updated an older Little Caesars file to 2015 Accountant Edition, I entered a Daily Sales Summary on a memorized Sales Receipt and, believe it or not, it worked. The question is Why and the Answer is Who Knows! What I do know is that when QuickBooks launches a new product, it is important to pay attention to the new releases and consider not using a brand new version. If you have to upgrade because of payroll or other services, try upgrading after a few rounds of releases. Although Intuit cuts off payroll services, email, billing solutions and a host of other accounting services when a version is retired, at least they give you until May of the next year to keep using the older product while they get as many bugs as they can fixed.

TIP OF THE DAY: Before installing the next update, read up on what the release fixes as well as any information from the QuickBooks Community. Often, there are articles written about company files experiencing difficulty after installing. Contact me if you have other accounting questions, are looking to purchase QuickBooks software, need QuickBooks training or are experiencing technical difficulty (I am writing this as I am on the phone AGAIN with Intuit on another problem!) Wish me luck, the last time I was on the phone for two hours!
